We are seeking a highly organized and detail-oriented Diplomatic Assistant to join our dynamic team in Lucerne. This role provides crucial administrative and logistical support to diplomatic staff, ensuring the smooth operation of our daily functions. The ideal candidate will possess excellent communication skills, a strong ability to manage multiple tasks, and a proactive approach to problem-solving. Hauptverantwortlichkeiten
- Provide comprehensive administrative support to diplomatic officers, including scheduling appointments, managing calendars, and organizing meetings.
- Prepare, proofread, and format official correspondence, reports, and documents in English.
- Maintain and organize diplomatic records, files, and databases with strict adherence to confidentiality protocols.
- Coordinate logistics for official visits, events, and receptions, including venue booking, catering, and guest invitations.
- Handle incoming and outgoing communications, including telephone calls, emails, and diplomatic pouch correspondence.
- Assist with research tasks and compilation of information related to political, economic, and cultural developments.
- Manage office supplies inventory and facilitate procurement processes.
- Liaise with external partners, local authorities, and other diplomatic missions as required.
- Perform general office duties to ensure an efficient and welcoming environment for visitors.
Erforderliche Fähigkeiten
- Fluent written and spoken English (C1/C2 level).
- Proven administrative and organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
